This article explains when orders may be cancelled, when cancellation may no longer be possible, and how to respond to customer cancellation requests.

Order Cancellation Rules

The order cancellation process helps ensure that requests to cancel orders are handled consistently and in accordance with Whip Mix sales terms.

What This Means for Our Team Members

Customer may occasionally request to cancel an order after it has been placed.

Whether an order can be cancelled depends on the production and fulfillment status of the order.

Once a product has been completed and prepared for shipment, the order may no longer be eligible for cancellation.

If cancellation is requested after production has begun, the customer may still be responsible for costs associated with the work already completed.

 

What To Do

If a customer requests to cancel an order:

  1. Confirm the order number and product details.
  2. Check the current status of the order (processing, production, or ready for shipment).
  3. If the order has not yet entered production, determine whether cancellation may still be possible.
  4. If production has begun, inform the customer that cancellation may involve charges for work already completed.
  5. Document the request and coordinate with the appropriate internal team if review is required.

 

Important Things to Remember

Orders are accepted with the understanding that production and fulfillment may begin shortly after the order is received.

Key considerations include:

  • Orders cannot be cancelled once the product is completed and ready for shipment.
  • If cancellation occurs after production has begun, the buyer may be responsible for the portion of the work already completed.
  • The buyer may also be responsible for reasonable expenses incurred during production.

Because production timelines may vary, cancellation requests should be reviewed as soon as possible after they are received.

 

When to Escalate

Escalate the request if:

  • The order status is unclear
  • Production has already begun
  • The customer disputes cancellation charges
  • The order involves custom or special-order items
