This article explains how international shipments are handled, including customs brokers, proforma invoices, and the customer’s responsibility for tariffs, customs clearance, and delivery.
International Shipping & Documentation
The international shipping process helps ensure shipments are properly coordinated and documented according to Whip Mix Terms & Conditions of Sale.
For the purposes of this article, "international shipments" refer to shipments outside the United States. Canadian shipments are handled differently, as freight program coverage applies only to the U.S. border and additional charges apply beyond that point.
What This Means for Our Team Members
International shipments require additional coordination beyond standard domestic shipping.
Whip Mix prepares and ships the order. Once the shipment is delivered to the carrier, the Buyer is responsible for the shipment, including delivery, customs clearance, tariffs, broker fees, and other applicable international charges.
What To Do
If a customer places or asks about an international order:
- Confirm the destination country.
- Ask if the customer has a customs broker or forwarding agent.
- Collect or confirm broker or forwarder contact information.
- Provide or confirm required shipping documentation.
- Provide a proforma invoice if requested.
- Explain what the customer is responsible for (customs, tariffs, delivery).
- Escalate if documentation or requirements are unclear.
Important Things to Remember
Forwarders & Customs Brokers
- Customers should provide the name and contact information of their customs broker or forwarding agent to help facilitate customs clearance.
- The Buyer is responsible for all costs associated with forwarders and customs brokers
Proforma Invoices
- Whip Mix will provide a proforma invoice at the Buyer's request
- The proforma includes estimated freight charges
- Actual freight charges may vary at the time of shipment
- The Buyer is responsible for any additional costs beyond the estimate
Tariffs, Duties, & Fees
- The Buyer is responsible for all tariffs, duties, customs-related charges, and broker fees
- These charges are not included in product pricing
Canadian Shipments
- Canadian shipments qualify for the freight program only to the U.S. border
- Canadian dealers are responsible for freight beyond the U.S. border, customs clearance, tariffs, and broker fees.
Shipping Responsibility (EXW Reminder)
All shipments are sold EXW (Ex Works) Seller’s facility.
- Risk of loss or damage transfers to the Buyer when the shipment is delivered to the carrier
- The Buyer is responsible for delivery, customs clearance, tariffs, broker fees, and other applicable international charges from that point forward
What the Buyer is Responsible For
- Customs clearance
- Tariffs, duties, and broker or forwarding-agent costs
- Freight and accessorial charges
- Damage or loss after the shipment is delivered to the carrier
- Delivery-related fees or delays, including refused or misdirected shipments, demurrage (delay-related shipping charges), and storage charges, when applicable
When to Escalate
Escalate the situation if:
- The customer doesn’t have a customs broker or forwarder
- Documentation requirements are unclear
- The customer disputes tariffs or international charges
- Shipment involves complex routing or special handling
