This article explains how international shipments are handled, including customs brokers, proforma invoices, and the customer’s responsibility for tariffs, customs clearance, and delivery.
International Shipping & Documentation
The international shipping process helps ensure shipments are properly coordinated, documented, and delivered according to Whip Mix sales terms.
For the purposes of this article, "international shipments" refer to shipments outside the United States. Canadian shipments are handled differently, as freight program coverage applies only to the U.S. birder and additional charges apply beyond that point.
What This Means for Our Team Members
International shipments require additional coordination beyond standard domestic shipping.
Whip Mix prepares and ships the order. Once the shipment leaves the facility, the customer (Buyer) is responsible for managing delivery, customs clearance, and all related international charges.
What To Do
If a customer places or asks about an international order:
- Confirm the destination country.
- Ask if the customer has a customs broker or forwarding agent.
- Collect or confirm broker or forwarder contact information.
- Provide or confirm required shipping documentation.
- Provide a proforma invoice if requested.
- Explain what the customer is responsible for (customs, tariffs, delivery).
- Escalate if documentation or requirements are unclear.
Important Things to Remember
Forwarders & Customs Brokers
- Customers are encouraged to provide the name and contact information of their customs broker or forwarding agent
- The Buyer is responsible for all costs associated with forwarders and customs brokers
Proforma Invoices
- Whip Mix may provide a proforma invoice upon request
- The proforma includes estimated freight charges
- Actual freight charges may vary at the time of shipment
- The Buyer is responsible for any additional costs beyond the estimate
Tariffs, Duties, & Fees
- The Buyer is responsible for all tariffs, duties, customs-related charges, and broker fees
- These charges are not included in product pricing
Canadian Shipments
- Freight program applies only to the U.S. border
- The Buyer is responsible for freight, customs clearance, tariffs, and broker fees beyond the border
Shipping Responsibility (EXW Reminder)
All shipments are sold EXW (Ex Works) Seller’s facility.
- Responsibility transfers once the shipment is given to the carrier
- The Buyer is responsible for delivery, customs clearance, and all related international charges from that point forward
What Whip Mix is Not Responsible For
- Customs clearance or delays
- Tariffs, duties, or broker fees
- Delivery beyond the shipment point
- Charges related to international shipping or handling
When to Escalate
Escalate the situation if:
- The customer doesn’t have a customs broker or forwarder
- Documentation requirements are unclear
- The customer disputes tariffs or international charges
- Shipment involves complex routing or special handling
