Freight Program (Dealer Freight Support)
This article explains how the Whip Mix freight program works, including weight requirements, freight coverage levels, and what charges dealers are still responsible for.
Freight Program (Dealer Freight Support)
The freight program helps determine when Whip Mix will cover a portion of freight costs based on order weight and program requirements.
What This Means for Our Team Members
Whip Mix offers a freight support program for U.S. and Canadian dealers only but not all shipments quality.
The larger the order, the more freight Whip Mix will cover – but dealers will still have some shipping-related charges on every order.
Freight coverage is based on:
- The total weight of the order
- Shipping to one location
- Whether the order meets a freight tier
What To Do
If a dealer asks about freight charges:
- Confirm the dealer location (U.S. or Canada).
- Confirm the shipment is going to one ship-to location.
- Check the total gross weight of the order.
- Determine which freight tier the order falls into.
- Explain what portion of freight is covered and what charges will still apply.
- Check the invoice for any additional freight-related charges.
- Escalate if freight coverage or charges are unclear or incorrect.
How Freight Coverage Works
Freight coverage is based on total order weight shipped to one location.
Use the table below to determine how much freight Whip Mix will cover:
|
Tier |
Minimum Shipment Weight |
Whip Mix Freight Coverage |
|
Tier I |
≥ 10,000 lbs. |
100% of base freight* |
|
Tier II |
≥ 5,000 lbs. |
75% of base freight* |
|
Tier III |
≥ 2,500 lbs. |
50% of base freight* |
*Exclusions: Fuel surcharges and accessorial fees are not included in any tier and are always charged to the buyer.
Orders below 2,500 lbs. do not qualify for freight program coverage.
Example:
A 3,000 lb. shipment qualifies for Tier III, so Whip Mix covered 50% of base freight – but fuel and accessorial charges will still appear on the invoice.
Important Things to Remember
Eligibility Rules
- Applies only to S. and Canadian dealers
- Shipment must be to one ship-to location
- Based on total gross weight of products
- Includes drop shipments
Order Additions / Changes
From the original order date, a 2-day window is allowed for order additions or changes. These additions may be combined with the original order to help meet freight program weight requirements.
What Whip Mix Covers
When a shipment qualifies:
- A portion of base freight based on the weight tier
- Carrier selection (when freight is covered)
- Shipment sent as Prepaid or Prepaid & Add
What Dealers Still Pay (Important)
Even when freight is covered, dealers should expect to still pay for:
- Fuel surcharges
- Accessorial charges
- Special handling or expediated shipping
- Any delivery-related issues (refused, delayed, or misdirected shipments)
Default Shipping Method
Shipments are typically sent freight collect or billed to a third‑party carrier account unless prior arrangements have been made.
Drop Shipments
- Included in the freight program if requirements are met
- Shipped at the dealer’s risk
- Dealer is responsible for delivery outcomes and related charges
Canadian Shipments
Freight program applies only to the U.S. border
Canadian dealers are responsible for:
- Freight beyond the border
- Customs clearance
- Tariffs and broker fees
Shipping Responsibility (EXW Reminder)
All shipments are sold EXW (Ex Works) Seller’s facility.
This means, once the shipment is given to the carrier, the dealer becomes responsible for the shipment.
What Whip Mix is Not Responsible For
- Damage or loss during transit
- Carrier delays or delivery issues
- Refused or misdirected shipments
- Storage, demurrage (delay penalty), broker, or tariff-related charges
- Shipments using carriers selected by the dealer
What the Dealer is Responsible For
- Filing freight claims with the carrier
- All freight and accessorial charges not covered by the program
- Delivery issues or delays
- Customs, tariffs, and broker fees (Canadian shipments)
- Any additional shipping related costs
When to Escalate
Escalate the situation if:
- Freight tier qualification is unclear
- Shipment involves multiple locations
- Freight charges look incorrect
- Dealer disputes charges or coverage
- Shipment falls outside standard guidelines
